Step by Step Instructions:


Dealership Setup

  • The first thing you need to do is click your initials in the top right hand corner of the DX1 page and use the drop down menu to select dealership settings.
  • Once to the Settings Page click the Service Settings Option in the left hand Collapse Menu.
  • Then, directly under the RO NUmber Sequence Format, you can check the box labeled Enable Technician Timeclock.
  • Click the Save button in the top right hand of the screen.
  • Then click your initials again, go to the bottom of the drop down list, and do an Application Reset.



Setting the Technician Pass Code

  • Go back to dealership settings and now navigate to Time Clock in the left hand navigation menu.
  • Search or Select the technician you would like to get using time clock.


  • Enter a hire date, overtime setting, and most importantly have the tech enter in a unique Passcode.
  • Click Save



Using the Time Clock Feature in the Repair Order


  • Once in a Service Invoice, you can navigate to Labor for the desired job.
  • To add the tech you will click the + icon in the Labor Grid List.
  • Using the Technician drop down select the tech you would like to assign to the job. This could be multiple technicians.
  • Make sure to set the allocated hours. As a default, it will be the labor hours set in the job.
  • From here you have two options.
    • If you are the service writer you can click SAVE and the hours in the job are ready to be clocked in and out by the technician.
    • If you are the technician you can click the Alarm Clock icon to clock in to a job.
    • If you have administration permission you will be able to use your passcode to manually enter in the hours if the technician has forgotten to clock in and out at the time of the job.



  • After clicking the Alarm Clock icon you will enter your password



  • You will now see the Technician Timeclock Detail pop up.
  • Click the blue Clock In button



  • To clock out follow the same steps but simply click the Clock Out button.



Editing the Time Clock Stamps as a Manager


  • As a manager you will need to set up a PIN so you can edit hours as an administrator.
  • To edit another users hours you will click the Alarm Clock icon to open the Technician Timeclock Detail pop up.
  • Enter your PIN.
  • Now you can click into the grid to enter a IN and OUTtime. There will be no Clock IN or Out buttons.
    • Acceptable In Time and Out Time formats
      • HHMM (military hours)
      • HMM (military hours)
      • HH:MM (military hours)
  • Click SAVE



  • Administrators or Managers can also access the Technician Timeclock page from the DX1 dashboard.



  • You will now be on the Technician Timeclock Job List
  • Here you can see a list of Allocated and Worked hours by a number of search criteria.
  • Filter to the criteria you are looking for and make the changes needed.



Printing Job Clock In and Out Details

  • You can print reports from the Technician Timeclock Detail pop up.
  • This pop up can be accesess in two places, in the Technician Timeclock Job List or within the Service Invoice.
  • Once open simply click the Print button.
  • This will give you a print out of the details for the clock in and out.



Reports

  • Here is a list of reports that can be used to view information related to Technicians and the Timeclock feature.
